How fast should a med spa respond to a new lead?

The short answer

Within minutes, including nights and weekends. New leads are often reaching out to several clinics at once, and interest fades quickly, so the first clinic to start a real conversation usually wins the booking. Because most leads don’t pick up the first time, speed has to be paired with persistence: text, call and email over several days, then a longer nurture for anyone who isn’t ready yet.

Why minutes matter

Picture the patient. It’s 9:40 at night, they’ve just watched a video about Morpheus8, and they tap your ad and fill out the form. They probably filled out one or two others as well. Tomorrow morning they’ll have moved on to work, kids and everything else.

The clinic that texts them while they’re still on the couch, still curious, gets the conversation. The clinic that calls at 11 the next morning gets voicemail.

Why front desks can’t keep up

This isn’t a knock on your team. Your front desk is checking in patients, answering the phone, handling payments and rescheduling. A lead that arrives at 2:15 on a busy Tuesday waits until someone has a free minute. A lead that arrives at 9:40 at night waits until morning. Neither is fast enough.

The honest math of follow-up

Here is one real week inside our call center:

775dials
57conversations
21booked consults

Two lessons come out of those numbers. Most leads don’t answer the first time, so a single call attempt leaves most of your leads untouched. But when they do answer, more than one in three conversations becomes a booked consult. The work is in getting to the conversation.

A follow-up schedule that works

  1. Minutes: an instant text and call the moment the lead opts in.
  2. Days 1–3: a full-court press across SMS, email, AI voice and live agent dials.
  3. Days 4–7: persistence, with new angles and different times of day until they answer.
  4. Week 2 and beyond: a 12-week nurture that keeps you top of mind for people who aren’t ready yet.

What to say in the first text

Keep it short, personal and easy to answer. Mention the treatment they asked about and end with a simple question, not a sales pitch.

Example

“Hi Megan, it’s AVA from Glow Aesthetics. Saw you were looking at Morpheus8. Is this for your face, neck, or both?”

A question like that gets replies. A wall of pricing and links gets ignored.

AI for speed, people for the close

No human team can respond within minutes at 9:40 on a Saturday night. That’s where AI helps. Our assistant, AVA, texts and calls every new lead the moment they opt in, answers common questions and starts the booking. Trained call center agents then qualify, book and collect a deposit, so patients show up committed. Machine speed, human close.

Common questions

Is it okay to text leads right away?

Texting people who have asked you to contact them, such as by submitting your form with a clear consent message, is standard practice. Rules on text and call consent vary, so have your forms and consent language reviewed; we never contact anyone who hasn’t opted in.

Will patients know they’re talking to AI?

AVA is built to sound natural and stay on topic, and it hands off to a live person when a conversation needs one. Most patients care far more about getting a fast, helpful answer than who typed it.

What about leads that come in after hours?

Those are some of your best leads, because they’re researching on their own time. After-hours follow-up is where most clinics lose bookings, and where automated first contact makes the biggest difference.

How do you reduce no-shows?

Collect a deposit at booking, then send confirmations and reminders. When someone still misses, reach out quickly to rebook rather than letting the lead go cold.

Stop letting leads wait until morning.
